Earlier we talked about seating charts. If you had a formal one created for your reception, send it over to your day of wedding coordinator (if you have one). If you don't have a day of wedding coordinator, give it to whomever is helping to set up on your wedding day. In some special cases, a caterer may need a copy of the seating chart. For example, if your guests pre-selected their meal choice and it is being served.

​The person(s) in charge of set up should also be given a heads up on special requests. For example here is a list of 10 special request items you may need at your wedding site:

​1. Table for DJ.
2. Stage for musicians or band.
3. Table for wedding cake setup.
4. Tables for items like, place cards, guest book etc.
​5. Microphone (s) and stand for MC.
6. Table or bar area for the bartender.
7. Dance floor.
8. Speakers.
9. Additional lighting.
10. Visual equipment, ex. projector.
